Registration is more than collecting names. It starts a participant record that your team will use for payments, updates, check-in and certificates. A little planning now saves repeated corrections later.
Start with the participant journey
Decide who is attending and whether different groups need different registration categories. Keep questions useful: if your team will not act on an answer, reconsider asking for it. Tell participants why any sensitive information is needed, and limit access to it.
For an academic conference, agree whether people register before submitting an abstract or submit first and register after acceptance. Explain the order clearly wherever you invite submissions.
Agree how payments will be handled
Confirm the fee categories, payment arrangements and who will resolve payment questions. Decide how your team will review evidence where it is needed, and what participants will see when their payment is incomplete.
In Rhodex, registration and invoice status are connected. Configured reminders can follow up eligible outstanding payments, helping the team avoid rebuilding separate lists.
Plan for arrival before registration opens
Decide how the desk will find a participant, verify their registration and confirm arrival. Test both QR scanning and a name lookup so the team has a practical fallback.
Agree who can handle exceptions, including an incomplete registration or a payment question. Fast check-in depends on prepared records and people as well as software.
Run a rehearsal
Ask someone outside the setup team to follow the journey. Check the registration questions, confirmation, payment information and delegate dashboard. Then rehearse arrival at the desk.
